RACE CONTROL BRIEF

This policy covers the P.AI Games website, ticket waiting list, team applications, sponsor applications and consent-based analytics.

1. Who is responsible

The P.AI Games is the data controller for this website. Contact: The P.AI Games, Tel Aviv, Israel; privacy@pai-games.com. This policy is written for the current pre-event website and will be updated if our services or legal details change.

2. Information we collect

Ticket waiting list: name, email, phone, country, city, visitor type, organisation and job title if supplied, group size, ticket preference, planned attendance days, interests, how you heard about us, accessibility needs, message and newsletter choice. Team application: organisation and location, team principal name and role, email, phone, robot and safety specifications, control mode, proof URL, selected competitions and freight status. Sponsor application or inquiry: company and website, location, industry, company size, contact name, role, email and phone, package and budget interests, objectives, activations, audiences, markets, hospitality needs, timeline and any message. Newsletter: your email address, if you subscribe in the footer. Website analytics: with consent, we record page visits, referral source, campaign and broad device category. Essential security and session data may be processed without marketing consent.

3. Why we use it and our legal basis

We use application data to answer requests, assess teams and sponsors, administer the waiting list, send confirmations and prepare the event. The legal basis is taking steps at your request before entering an agreement and our legitimate interest in operating the event. We send optional news and marketing only with consent. You may withdraw consent at any time. We may also process limited information where needed to comply with law, protect safety or establish legal claims.

4. Retention

Waiting-list records are kept until ticket sales and related event communications are complete, then deleted or anonymised within 12 months after the event unless you consent to continued updates. Unsuccessful team and sponsor applications are kept for up to 24 months for follow-up and audit. Accepted-team, contracted-sponsor and transaction records may be kept for up to seven years where required for contracts, accounting, safety or legal claims. You may ask us to delete information earlier where the law allows.

5. Sharing and international transfers

We do not sell personal information. We share only what is necessary with our website hosting and database provider, transactional email provider, professional advisers and event suppliers who need the information to deliver the service. If information is processed outside Israel or the European Economic Area, we use an available lawful transfer mechanism and appropriate contractual safeguards.

6. Your rights

Subject to applicable law, including the Israeli Privacy Protection Law and the GDPR where it applies, you may ask to access, correct or delete your information; restrict or object to certain processing; receive portable data; or withdraw consent. You may also complain to the relevant data-protection authority. Email privacy@pai-games.com. We may need to verify your identity before completing a request.

7. Cookies and analytics

Essential storage supports security, language choice and your cookie preference. Analytics and marketing cookies are off unless you select “Accept all cookies” in the consent banner. Selecting “Essential only” keeps them denied. You can clear the saved choice in your browser to see the banner and choose again.

8. Security and updates

We use access controls, encryption in transit, restricted staff access and other proportionate safeguards. No online system is risk-free. We will update this policy when our practices change and show the revision date on this page.
